Who counts as a user?
People in your firm who sign in: owners, account managers, delivery leads, finance, consultants and contractors. Client contacts who review SOWs, status, or invoices via secure client links or the Client Portal are never charged.
What is included in the $9.99 Founding Customer Lock?
Our first 30 Founding Customers get the complete Firm ($25/user) feature set—including SOWs, Change Orders, Simple Mode, T&M/Milestone/Retainer Invoicing, QuickBooks Online & Xero sync, Jira/Asana integration, SSO/MFA, and Executive Forecasting—locked at $9.99 per active user per month for 24 months.
Is there a setup fee?
Self-serve setup is $0 and takes about 15 minutes using our 3 built-in industry SOW templates, starter rate card, and 1-click sample project. If you want our team to migrate your people, rate card, and first 3 SOWs for you, optional White-Glove Setup is a flat $499 (waived on annual Firm plans).
Do you support client invoicing and QuickBooks / Xero sync?
Yes. Stafio generates T&M, fixed-fee milestone, and recurring retainer invoices directly from approved hours, expenses, and SOW milestones, tracks payments and AR aging, and syncs invoices and payments with QuickBooks Online and Xero.
What happens to our data if we leave?
You can export everything (CSV reports and a complete JSON archive) at any time. After cancellation, your firm stays in read-only export mode for 30 days, then the data is permanently deleted.
Is there an on-premises or non-US option?
No. Stafio is multi-tenant SaaS hosted in the United States (AWS us-east-2) only. Your people can use it from anywhere, including distributed US and India delivery teams.
